Shipping from Nepal to the USA: The Complete Documentation & Compliance Guide

Mandatory Documentation Checklist 

In order to prevent your package from being held at customs, the following documents have to be completed 100% accurately before dispatching from Kathmandu.

The Commercial or Pro-Forma Invoice

All packages except documents require an invoice which US Customs would utilize to calculate duties and taxes. This document should contain:

  • Full Contact Details: Sender and receiver's name, phone number, and complete address (P.O. Boxes are not acceptable).

  • Precise Item Descriptions: Do not use words such as "Gift" or "Samples". Be more descriptive such as "Hand-made wool Pashmina shawl" or "Hand-made wooden Buddha statue".

  • Declared Value: Fair market value in USD.

  • Country of Origin: Must clearly state "Made in Nepal."

Identification for Senders

As per Nepalese law, all individual senders need to provide their Citizenship Certificate/Passport, while registered companies need to provide their Company Registration and PAN/VAT certificates.

FDA Regulations: Shipping Food and Herbal Products 

The United States is especially rigorous when it comes to foods or other consumables. When shipping any food, tea, or Ayurvedic herb, it should be done according to FDA Prior Notice regulations.

  • Tea and Spices: Tea or spices that have been packaged by a manufacturer and come with labels in English language packaging. Bulk foods are likely to be confiscated.


  • Prior Notice: An electronic notification must be given prior to shipment. Courier services in Nepal do this for you so your package is not confiscated at the border.


  • Forbidden Foods: Perishable foods, meat or meats (sukuti included), and any other home-cooked dishes are forbidden.

Restricted Items and Special Certifications

There are certain unique Nepali goods that need extra permission from the government to exit the Tribhuvan International Airport.

DOA Certificate: If you are exporting Nepali statues, thangkas, or anything that resembles antique artifacts, then a certificate of Non-Antique is mandatory from the Department of Archaeology (DOA).


Phytosanitary Certificate: In case you want to export any goods derived from plants, such as herbs, then a phytosanitary certificate might be necessary.


Dangerous Goods: Items with batteries (like laptops and cell phones), liquids, and magnets need special handling as dangerous goods and incur charges accordingly.

Understanding Volumetric Weight (The 5000 Formula) 

When it comes to air cargo, space and weight are equally important. The chargeable weight will be used to determine the cost of delivery, and this will be the greater of either the actual weight or the volumetric weight.

Calculation Formula:

(Length x Width x Height in centimeters) / 5000 = Volumetric Weight (kilograms)


Strategy Tip: If you are shipping lightweight but bulky items like cushions or oversized boxes, vacuum packing can significantly reduce the volume and lower your shipping costs.

Packaging Standards for Trans-Atlantic Transit 

The parcel will travel more than 12,000 kilometers while passing through numerous transit facilities (Doha, Dubai, and London). Basic packaging does not suffice.


Box Quality: double-walled corrugated cardboard boxes.

Void Fill: bubble wrap or crumpled paper to ensure items do not move inside the box.  

H-Taping Method: Sealing the box by taping all its joints in the pattern of "H."

Address Placement: Keep another copy of the address and invoice inside the box as a backup in case of any damage incurred during transportation.

US Import Duties: The $800 Rule 

The USA provides a fairly high "de minimis" exemption for personal shipments.

Duty-Free Entry: Personal goods below $800 are exempt from any import duties in the USA according to the USA Section 321.


Formal Entry: Shipments above $800 can be liable for customs duty and taxes (Tariff), which will be charged to the recipient unless DDP is opted in Kathmandu.
